This is how we usually proceed when we take responsibility for administrative processes and tasks:
Needs analysis | First we compile an inventory of all needs and expectations in connection with the intended HR outsourcing and define the service requirements. Then we review the existing HR processes and tools regarding their completeness and efficiency.
Service level agreement | After completing the detailed needs analysis we draw up a service level agreement that includes all services, responsibilities, and service standards, as well as the commercial conditions and related liabilities.
Processes and tools | Before we take responsibility for the personnel processes, all deficiencies that have been detected during the needs analysis will be rectified and, where necessary, the HR processes and tools will be updated. During this period the future processes between the customer and BOSS Business Consulting will also be defined in detail and thoroughly documented before they are entered on the IT system.
Data migration | Once detailed process descriptions are available, the customer’s master data are transferred to the SAP personnel information system. Then the data of individual employees are copied to system, either electronically or manually. During this step all redundant and incomplete data are updated, and data integrity is controlled several times to ensure data quality.
Parallel run | Before we initialize the first payment of the monthly payroll through the outsourcing model, a number of parallel runs are carried out to make sure that all relevant data are correct and complete. The first payments and the financial reports to the customer’s accounting system will only be released by BOSS Business Consulting when the parallel payroll run fully corresponds to the customer data.
Implementation | Prior to the actual implementation of the service level agreement, a co-ordinated communiqué will be issued to the customer’s managers and employees. In this communication they will be informed about the new processes and support material, about the roles and responsibilities, and, wherever necessary, they will be trained in the new processes. In addition, the contact persons in BOSS Business Consulting will be presented and the on-site representative introduced.
Review and controlling process |The implementation of the service level agreement is subject to a continuous review and controlling process which allows the customer to verify that the services are actually in line with agreed standards, and also to assess employee satisfaction.
